Terms and Conditions

Please read these Terms & Conditions carefully as by booking and paying for a holiday you are deemed to have accepted them.

CONTRACT
The contract for a short-term holiday rental shall be made between the client and the owner. The Contract is only effective once the transaction has been approved via email, the required payment has been received and confirmation has been sent to the client either by email or post. On arrival the client must be able to provide written confirmation of booking sent to them by the owner as evidence of said booking if requested . If there is no written confirmation of booking for the appropriate dates there is no legal contract.

PAYMENT AND PRICES
A non-returnable deposit of 30%  (subject to a minimum deposit of £150) of the rental is payable on booking. Provisional bookings are held for 7 working days only. The balance of the rental is payable eight weeks prior to arrival. For bookings made less than eight weeks in advance, the total amount is payable on booking. Payment can be made by bank transfer or cheque. Cheques should be made payable to “St. Andrews Coach Houses” and sent to Priorletham Farm, St Andrews, Fife KY16 8NP. The client is responsible for the cost of any bank charges payable if the funds are transferred from abroad and the amount due is the total  price detailed in the enquiry email response. If there is any shortfall this must be paid for by the client on arrival. In the event of the failure to submit the balance eight weeks prior to the date of entry we will cancel your booking and retain the non refundable deposit. The owner reserves the right to amend the price and conditions  detailed on the website anytime prior to booking and variations may apply from the published price if there are any golf or other major events on locally.

CANCELLATION
In the event that you have to cancel, every effort will be made by us to re-let the property, but if this is unsuccessful the full  balance will be payable. In the event of cancellation, notice of cancellation must be sent by registered post or recorded delivery letter. We strongly recommend that you take out holiday cancellation insurance to protect against unforeseen circumstances.

PERIOD OF HIRE
Your Coach House will be ready for you by 4 pm on the day of arrival and must be vacated not later than 10 am on the day of departure. Early arrival and later departure are by prior arrangement only.
Changeover days for weekly stays during the summer are normally on Saturdays. Change-over days for three night weekend or four night midweek breaks are normally on Mondays and Fridays. These are priced on a per property basis.
Please advise us of your expected arrival time so we can make suitable key collection arrangements with you. We cannot be held responsible for properties not being ready for occupation should clients arrive earlier than 4pm. Likewise, especially during high season periods, departure must be by 10am. Short break bookings can be more flexible and will be discussed on booking. We reserve the right to decline accommodation and to require the immediate removal of any persons not complying with these conditions or for any behaviour detrimental to the property or the comfort of our other guests.
NUMBER OF GUESTS PER PROPERTY
The number of persons occupying a property must not exceed the maximum number stipulated and agreed on at the time of booking. We reserve the right to terminate the hire without notice if this condition is breached. Children over the age of 2, not sleeping in a travel cot, count towards the total number of guests. Guests are welcome to visit but must not stay overnight.

HOT TUB 

For guests staying at Priory Lodge then the specific instructions for use of the hot tub must be adhered to. If the equipment has not been used in accordance with the specific guidelines provided within the lodge then a cost will be incurred for cleaning and maintenance. THE HOT TUB MUST NOT BE USED AFTER 11PM. No glass objects or bottles are permitted in or near the vicinity of the hot tub. If any broken glass is found in or near the hot tub this will require a full overhaul of the hot tub and its components and the guest will be responsible for all costs incurred. If the hot tub needs to be shut down due to misuse this  will incur a £75 charge to refill it and it will be out of use until it is back up to temperature. Any damage caused to the hot tub or its working parts due to the negligence of the client will be paid for by the client.

SMOKING POLICY
Clients are reminded that all of the Coach Houses are strictly non-smoking
to ensure the comfort of all our guests. All traces of smoking must be removed from patios/gardens etc by the hirer by the end of their occupancy. Anyone found to have been smoking in the Coach Houses will be charged a fee of up to £200 for a deep clean to remove the smell of smoke for fellow guests.

CARE OF PROPERTY
Your Coach House must be left clean and tidy on departure. We reserve the right to make an  additional charge of the extra cost of cleaning incurred by us if the  property is not left in a satisfactory condition. We do ask clients to report accidental breakages to us immediately and, where deemed necessary, leave payment for replacement/repairs  prior to departure. We aim to ensure that all properties are maintained to a high standard and as such we would ask that all faults or failure with any equipment within the Coach Houses should be reported immediately in order that steps can be taken to remedy the problem. We cannot be held liable for a breakdown of any facility which is beyond our reasonable control(e.g. breakdown or failure of any electrical equipment, facility or plumbing)or from any misuse or negligence of the client using the equipment.

PETS
A toy breed or small breed dog is welcome by arrangement in The Castle Coach House only. Please restrict the dog to the ground floor of the cottage and as this is on a working farm the dog must be kept on a lead at all times except when in the property. There is an additional charge of £40  per week or £25 per short stay. The dog must never be left unattended in the property and must not be allowed on any of the furniture or furnishings. Please do not allow any of the farm pets to enter the Coach Houses.

ITEMS INCLUDED
Our prices include the provision of quality bed linen, duvets,towels and electricity. We also provide  dishwasher powder, washing up liquid and all the basic cleaning items that you would require during your stay.

REFUNDABLE SECURITY DEPOSIT (RDD)
We  may require a security deposit, or ask for payment of the security deposit with the balance of rental. This is held in case of unreported breakages, loss or damage to items within the property together with any excess cleaning or refuse disposal required after occupancy.

PERSONAL INJURY & LOSS OF CLIENT PROPERTY
The client or members of his/her party cannot hold the owners responsible for injury sustained or the loss or damage to any belongings during their stay. The proprietor accepts no liability for accident, injury, loss or damage sustained by any residents, their family, visitors, animals,vehicles or personal effects however caused.

SAFETY

The Coach Houses are situated at the edge of a working farm and for their own safety guests must not enter the farm buildings or working farm area. Children must be supervised at all times.

CIRCUMSTANCES BEYOND OUR CONTROL
At the time of booking you will be given the name of the property reserved for you. However, the owners reserve the right to move you to another property with the guarantee that it will be of the same size or larger.

If for any reason a Coach House has been rendered unsuitable for holiday letting (e.g. water damage/fire damage, break down of heating system etc) on the date booked, we will endeavour to offer alternative accommodation or alternative dates, or offer a refund of all monies paid by the client. There shall be no further claim against the owner. We are sure that you will have a very enjoyable break with us. Nevertheless,should you any have cause for complaint, please advise us immediately so we can try and resolve the problem. Complaints cannot be accepted after the client has departed.

MARKETING

We retain information collected by us and may use it to provide you with holiday or special information. We will never pass your information on to third parties.
